Check identification and name questions early

Each signer should have acceptable, current identification ready. If a name, marital-status, vesting, entity-role, trust, estate, or power-of-attorney question exists, send it to the document preparer or responsible closing professional before the appointment. The notary cannot choose wording or decide whether a signer has legal authority.

Make document delivery and printing expectations clear

Confirm whether documents will be printed by the signing agent, delivered another way, or signed at a title office. For an out-of-town seller, confirm the local time zone and allow enough time for printing, review, questions, scanbacks when requested, and package return.

Do not assume witnesses are or are not needed. The requesting party or receiving agency should confirm the requirement, acceptable witness qualifications, and who will provide them. The notary should not be asked to make a legal eligibility decision at the table.
