A fast 6-point pre-appointment checklist
- Confirm who is signing and ensure everyone will be present for the full appointment window.
- Confirm acceptable photo ID is available and the name reasonably matches the documents.
- Confirm the signing location is set (quiet, well-lit table) and that the address and access notes are correct.
- Confirm the package is complete (not only signature pages) and is printed/available as required.
- Confirm anything that must be signed in front of the notary is not pre-signed.
- If a witness is required, confirm the witness plan in advance (who, where, and when).
Confirm identity and name matching
Have the signer’s current, acceptable photo ID ready. If the ID name does not reasonably match the document name (marriage, divorce, typo, or middle initial differences), raise it early so the requesting party can route the correct fix before the appointment.
Do not sign before the notary arrives
If a signature is notarized or witnessed, it often needs to be signed in the notary’s presence. Signing too early can create rework or force the appointment into a correction loop.
Have the complete document package
Bring the full packet, not only signature pages. Missing pages and missing attachments are one of the fastest ways to turn a 30–45 minute appointment into a reschedule.
Keep the appointment location simple
Choose a quiet, well-lit table. Make sure all signers will be present and available for the entire appointment window. If a witness is required, confirm the witness plan before the notary arrives.
For closing funds: use safe verification habits
For any closing-fund or wire activity, treat unexpected messages as suspicious. Verify instructions using a trusted phone number you already have on file (not a number inside a new email or text).
